Bridging the Gap Between Engineering and Business to Launch a Scalable Customer Portal

The Situation

A growing utility billing SaaS company had a critical product initiative underway — migrating clients to a new Customer Portal — but lacked the connective tissue between its engineering and business teams. Expectations were misaligned, roadmap visibility was limited, and neither side had a shared language for tracking progress or setting priorities.

The Approach

Julie stepped in as Senior IT Project Manager to bridge that divide. She led the end-to-end delivery of the Customer Portal enhancement project, establishing direct collaboration between business stakeholders and engineering teams. Julie introduced an agile framework built on epics and user stories, tracked and managed in Jira — and built out Jira Product Discovery to create organizational visibility into the roadmap from the project team all the way up to the Executive team. The launch included a Go To Market structure with a coordinated marketing campaign, defined supporting processes, feature correction protocols, and a formal client migration approach — all running in parallel.

The Outcome

The Customer Portal launched with the "must have" requirements needed to begin migrating clients off legacy systems. The structure provided by Julie left the company with a clear product roadmap, shared visibility into what had been delivered, and a documented plan for upcoming releases — giving both engineering and business teams a single source of truth and a repeatable model for future releases.

"During the interview process, other senior project managers talked about certifications and asked what I needed. Julie has emotional intelligence — she understands people and dynamics. The most important skills as a project manager are communication, asking questions, and analyzing the business. Julie has skills from a big organization, and she's also down to earth."

Untangling System Complexity and Building a Path to Operational Clarity

The Situation

A mid-size real estate and investment firm was carrying significant operational complexity in its sales commission calculations — a process spanning four separate systems with no clean reconciliation between them. Leadership knew they needed better structure, clearer communication, and automation, but lacked an outside perspective to help them see the full picture and move forward with confidence.

The Approach

Julie engaged directly with the company's CFO as a strategic thought partner — bringing an outside perspective willing to challenge assumptions and approach problems from multiple angles. She conducted a cross-system analysis of commission workflows, mapped roles and responsibilities, and identified opportunities for streamlining and automation using AI-assisted tools. The work was deliberately forward-thinking: solutions were designed not just to fix today's problem, but to integrate with the company's proprietary application over time.

The Outcome

The engagement produced a Field Governance Map — a structured framework the CFO will use to align internal sales teams and guide an ERP consultant in configuring the company's ERP system. The result is a clear, actionable path from operational complexity to scalable process, with a roadmap for longer-term automation already embedded in the plan.

Community Infrastructure

From Neighborhood Gridlock to Over $160,000 Raised and Fresh Pavement: Building Community Infrastructure from Scratch

The Situation

A residential neighborhood with privately owned roads had gone over 20 years without a functioning maintenance organization. Three or more attempts to establish an HOA had failed — the most recent collapsing under the weight of competing agendas and neighbor conflict. Without a governing body, there was no mechanism to collect funds, roads continued to deteriorate, and the neighborhood had developed a reputation with realtors and lenders as an unfixable problem. Neighbors were struggling to sell homes, and banks and VA lenders were declining to finance mortgages in the area.

The Approach

In 2019, Julie partnered with a fellow neighbor to start from scratch — bypassing the failed HOA model in favor of a narrowly focused Road Maintenance Association with a single mandate: fix the roads. Together they developed a funding strategy, built a door-to-door outreach plan, and engaged the neighborhood around a clear, limited goal that sidestepped the political friction that had derailed prior efforts. The work was entirely volunteer-driven, with Julie contributing her project management and organizational expertise to structure the effort from the ground up.

The Outcome

The Ledford Downs Road Maintenance Association raised over $160,000 from neighborhood residents, established a standing board with formal governance, and completed paving on the neighborhood's worst road sections. The association restored the neighborhood's reputation with the real estate and lending community — removing a barrier that had suppressed home values and blocked financing for years.
